Guildford City Swimming Club invoices all members for their training and membership fees on a monthly basis. Guildford City Swimming Club has reached an agreement with GoCardless to collect all of our members payments by direct debit. The collection system fully integrates with Swim Manager which is the vehicle that manages Guildford City members’ accounts.

Training and membership fees are invoiced on the first of the month and are collected by direct debit from the member’s nominated bank account at the end of the month. Each succeeding month follows the same pattern.

Any other invoices e.g. meet entries – GCSC clinics and camp fees, are also collected by Go Cardless via direct debit. The credit period for this type of transaction is 3 days after invoicing.

All members are required to complete a direct debit mandate enabling Go Cardless to collect invoices rendered on the Club’s behalf.

Leaving Guildford City Swimming Club

If you should decide to leave Guildford City Swimming Club, you are strongly urged to speak to your squad coach before finalising your plans. As an alternative you can contact directly the divisional lead coaches who may be able to resolve any issues you have, as below:

Notice Period

Like most organisations we require a minimum notice period of two full calendar months, sent in writing and via email to Liz Simmons, Membership Administrator. We believe this is in line with our historical policy of having to give one term’s clear notice. This policy helps protect the Club’s financial stability; we are still liable for staff salaries and pool hire costs during this period.
For complete clarification and as an example, if you give notice on 15 December of your intention to cancel your membership, cancellation will take effect two full calendar months after this date, so on 28 February the following year.

Direct Debit

You are strongly advised not to cancel your direct debit with us until the notice period as outlined above is complete. If the direct debit is cancelled before then we will have to seek an alternative form of payment to clear any outstanding fees or charges due.

Q. Can you confirm if the monthly direct debits are taken every month or over a 10 month period?
A. The direct debits for fee payments will be taken every month and are equivalent to the yearly squad fees and club membership

Q. Please could you clarify the cost to members under the monthly direct debit system?
A. There is no extra cost to members. Any GoCardless fees are absorbed by Guildford City.

Q. What happens if I choose not to complete a mandate?
A. If a mandate is not received then the full year’s squad and membership fees will be due at the start of the season.

Q. When will the Swim England fees be collected?
A. The annually charged Swim England fees collected on behalf of Swim England (the national governing body) will be collected by Go Cardless in December each year.
